1. About us

London Headshot is a trading name of A9K Media Limited (company number 14554659), registered in England and Wales (“we”, “us”). You can contact us at hello@londonheadshot.co.uk.

“You” means the person or organisation booking a session. If you book on behalf of a business, you confirm you are authorised to agree to these terms for it.

2. Quotes and bookings

Quotes are valid for 30 days. A booking is confirmed once you have accepted the quote in writing (email is fine) and we have received the deposit. We will confirm the date, time, location and what is included.

3. Payment

A deposit of 50% of the quoted fee is due to confirm a booking. The balance is due within 14 days of the invoice date, and final images are delivered once it has been paid. We are VAT registered, and every quote shows the price before VAT, the VAT charged and the total.

4. Changing or cancelling a booking

• More than 72 hours before the session: you can reschedule free of charge, or cancel and have your deposit refunded.
• Within 72 hours of the session: you can reschedule once, but the deposit is kept if you cancel.
• If we have to cancel, for example because of illness, we will offer a new date as soon as possible or refund everything you have paid.

5. On the day

Sessions start and finish at the booked times. If people arrive late, we will photograph as many as we can in the time remaining, but cannot always extend the session.

We come to you, so please provide a suitable space at your premises, access for our equipment and somewhere to park or unload. Parking or congestion charges are added at cost.

6. Delivering your images

Images are chosen on the day, so there is no separate proofing stage. Retouched images are delivered within 3 working days for executive sittings and within 5 working days for team sessions. Large scale days are delivered the same evening or handed over on the day.

If you need your images sooner, a faster turnaround can usually be arranged. This may carry an additional editing fee, which we will always agree with you first.

We keep your images for at least six months after delivery so you can order more. We cannot archive them indefinitely and may delete them after that, so please keep your own copies.

7. Using the photographs

We keep the copyright in all photographs we take. Once you have paid in full, you may use the final images you receive, without time limit, for your business purposes. That includes websites, social media and professional profiles, press, printed materials and internal use.

Each person photographed may also use their own headshot on their professional profiles.

You may not sell or license the images to others, or claim them as your own work. Please ask us before making substantial alterations beyond simple cropping.

We may use images from your session in our portfolio, on this website and on social media. If you would rather we didn’t, just tell us when you book.

8. Our responsibility to you

We will carry out every session with reasonable care and skill. If something goes wrong because of us, our liability is limited to the fees you paid for that session.

Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited by law.

If you are booking as a consumer rather than a business, you also have legal rights that these terms do not affect. These include, for bookings made at a distance, the right to cancel within 14 days. If you ask us to carry out the session within that period, you may have to pay for any work already done.

9. Complaints

If you are not happy, email us and we will try to put it right. We aim to reply within 5 working days.

10. Using this website

The photographs, text and design of this website belong to us or to the people who gave us permission to use them. Please do not copy or reuse them without asking.

We try to keep the information here accurate, but it is not a binding offer. Prices and availability are confirmed in your quote.

11. The law that applies

These terms are governed by the law of England and Wales, and the courts of England and Wales will deal with any dispute. If you are a consumer living in Scotland or Northern Ireland, you may also bring proceedings in your local courts.
